Groundmark is a mobile application and software platform operated by EJH Group LLC d.b.a. Vanguard Property Buyers and created/owned by 3418 Holdings LLC. References to “Groundmark,” “we,” “us,” or “our” mean the Groundmark platform, website, dashboard, and mobile applications.

2. Information We Collect

We may collect information you provide directly, information created through your use of the Platform, and limited device or technical information needed to operate Groundmark.

• Account information: name, email address, phone number, role, organization name, invite code, subscription tier, and account status.
• Campaign and team information: campaign details, assignments, team members, area borders, resources, route data, and dashboard activity.
• Photos, camera content, and media: photos or other media you choose to capture or upload, along with notes, campaign selections, timestamps, and related metadata.
• Location and route information: addresses, map pins, route stops, coordinates, team borders, directions-related data, and location metadata submitted through Groundmark features.
• Device and usage information: app interactions, crash/debug data, device type, operating system, authentication status, and security logs.

3. Camera Permission

The Android app requests camera access because Groundmark allows users to capture property, campaign, and field-submission photos directly from the app. Camera access is used only when you choose to open the camera or submit media through an app feature.

We do not use camera access for background recording, hidden recording, or unrelated monitoring. Photos captured through Groundmark may be uploaded, stored, displayed, shared with your organization or team, and used for campaign tracking, exports, verification, reporting, and support.

4. How We Use Information

• Operate, secure, maintain, and improve Groundmark.
• Authenticate users and manage account access.
• Provide campaign tracking, route planning, team management, media library, resources, exports, and dashboard features.
• Apply subscription limits and organization-level access rules.
• Display photos, notes, submissions, map pins, routes, area borders, and activity to authorized team members.
• Provide customer support, troubleshoot issues, and respond to user requests.
• Send service, security, billing, product, and marketing communications where permitted.
• Comply with legal obligations and protect Groundmark, users, and organizations from misuse.

5. Sharing and Disclosure

Groundmark may share information with authorized users within your organization, service providers that help us operate the Platform, payment or app-store providers, analytics/security vendors, or legal authorities when required by law. Team Leads and authorized team members may be able to view photos, notes, campaign entries, route information, location-related submissions, and team activity depending on their role and subscription tier.

We do not sell your personal information.

6. Storage, Security, and Retention

We use reasonable administrative, technical, and organizational safeguards designed to protect account data, media, and platform records. No online service can guarantee absolute security. We retain information for as long as needed to provide the Platform, support your organization, comply with legal obligations, resolve disputes, enforce agreements, and maintain business records.

7. Your Choices

• You may choose not to grant camera permission, but photo capture features may not work.
• You may manage camera, notification, and location permissions through your device settings.
• You may contact support to request help with account information, privacy questions, or data access concerns.
• You may opt out of marketing emails through unsubscribe links where available. Service and transactional messages may still be sent.

8. Children’s Privacy

Groundmark is not intended for users under 18. We do not knowingly collect personal information from children under 13.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised effective date or last updated date. Continued use of Groundmark after updates means you accept the revised policy.
