Groundmark is a mobile application and software platform operated by EJH Group LLC d.b.a. Vanguard Property Buyers and created/owned by 3418 Holdings LLC. This Privacy Policy explains how Groundmark collects, uses, stores, and protects information when you use the Groundmark website, dashboard, and mobile app.
2. Information We Collect
We may collect account information, profile details, organization name, invite code, subscription tier, campaign records, team member records, route planning data, addresses, uploaded photos or videos, notes, location metadata, app activity logs, device information, and support communications.
Groundmark may request access to your camera, photos, and location so users can capture field activity, submit proof of visits, organize campaign entries, and support team reporting.
3. How We Use Information
- To create and manage accounts, organizations, campaigns, routes, content library entries, resources, and team access.
- To operate, secure, troubleshoot, and improve the Platform.
- To display team-wide data, campaign activity, uploaded media, route history, and reporting tools based on your organization and subscription tier.
- To respond to support requests and send important service, security, billing, legal, and product notices.
4. Sharing and Team Visibility
Content submitted through Groundmark may be visible to users within your organization, including Team Leads and other authorized team members. This may include campaign submissions, photos, notes, addresses, location details, uploaded resources, and activity history.
We do not sell your personal information. We may share information with service providers that help operate Groundmark, comply with legal obligations, enforce our terms, protect the Platform, or complete business operations.
5. Third-Party Services
Groundmark may use services such as Firebase, Google services, Mapbox, Apple platform services, payment/subscription services, hosting providers, analytics tools, and communication tools. These providers may process information according to their own terms and privacy practices.
6. Data Security and Retention
We use reasonable administrative, technical, and organizational safeguards designed to protect Platform data. No method of storage or transmission is completely secure, and users are responsible for protecting their account credentials and invite codes.
We retain information as needed to operate the Platform, support your organization, comply with legal obligations, resolve disputes, and enforce agreements.
7. Your Choices
You may manage device permissions for camera, photos, notifications, and location in your device settings. You may contact support to request help with account information, privacy questions, or data access concerns.

Welcome to Groundmark
Groundmark is a mobile application and software platform operated by EJH Group LLC d.b.a. Vanguard Property Buyers (“Groundmark,” “we,” “us,” or “our”). By accessing or using Groundmark (the “Platform”), you agree to be bound by these Terms of Service (the “Terms”). If you do not agree, do not access or use the Platform.
1. Eligibility
To use the Platform, you must be at least 18 years of age and/or have the legal capacity to enter into a binding contract under the laws of your jurisdiction. By using the Platform, you affirm that you meet these eligibility requirements.
2. Account Registration and Security
To access features of the Platform, you may be required to create an account. You agree to provide accurate, current, and complete information when registering and to update your account information to maintain its accuracy. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to immediately notify Groundmark of any unauthorized use or suspected breach of your account.
3. Use of the Platform
By using the Platform, you agree to comply with all applicable laws, regulations, and these Terms. You agree not to share confidential addresses, team invite codes, or organization details outside your organization without authorization; send unsolicited, deceptive, fraudulent, or misleading communications; harass, threaten, or misuse user data; upload prohibited content; or upload malware or disrupt the Platform.
Groundmark includes features such as campaign creation and tracking, route planning and history, team area borders, team member management, photo/media uploads with notes and location, and exports. Certain features may be limited by your subscription tier.
4. Ownership and Intellectual Property
The Platform, including its software, design, text, graphics, and other materials, is owned by Vanguard Property Buyers, LLC or its licensors and is protected by intellectual property laws. You may not copy, reverse engineer, decompile, disassemble, modify, or create derivative works from the Platform. Groundmark’s name, logos, and trademarks may not be used without prior written consent.
5. User-Generated Content
The Platform allows users to submit content (“User Content”), including photos, videos, notes, addresses, and related metadata. By submitting User Content, you grant Groundmark a non-exclusive, transferable, royalty-free, worldwide license to host, store, reproduce, distribute, display, and perform the content as necessary to operate and improve the Platform and to support your organization’s usage, including team sharing, exports, and reporting.
You represent that you own or have the necessary rights to the User Content you submit, that your User Content does not infringe third-party rights, and that it complies with all applicable laws and these Terms. We may remove or restrict User Content that violates these Terms or applicable law.
6. Subscriptions & Billing
Groundmark offers Basics, Pro, and Elite subscription tiers. Details, pricing, and feature limits are displayed in-app. Subscriptions are managed via the App Store and may auto-renew unless canceled per the App Store’s policies. Changes in your team’s effective tier may apply organization-wide based on organization name and invite code.
Purchases, renewals, and refunds are handled by Apple’s App Store according to their terms. Groundmark does not directly process payments for iOS purchases.
7. Rights of Groundmark
We may remove, suspend, or modify content, features, or accounts at our discretion, including User Content that violates these Terms. We may introduce, modify, or discontinue features at any time and enforce subscription-based limits, including campaign counts, route limits, media storage, and team size.
8. Team Features & Limits
The Platform supports organization-based teams using an organization name and invite code. Team Leads may manage team membership and organization settings. Keep invite codes confidential. Team area borders are guidance tools and do not replace on-the-ground judgment or applicable laws. Photos, notes, and locations may be visible to your team and used for exports or reporting, subject to your subscription tier.
9. Privacy and Data Usage
Your privacy is important to us. Please refer to our Privacy Policy to learn how we collect, use, and protect your personal data. By using the Platform, you agree to the collection, use, and sharing of your data in accordance with our Privacy Policy. Groundmark may use your data, including event information, photos, and activity logs, to operate, secure, and improve the Platform; provide team-wide functionality; and meet legal obligations.
10. Limitation of Liability
To the fullest extent permitted by applicable law, Vanguard Property Buyers, LLC and its officers, directors, employees, agents, and affiliates shall not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages arising from your use of the Platform, including lost profits, business interruption, loss of data, or other intangible losses. Total liability for any claim shall not exceed the amount you paid for the service during the twelve months preceding the event giving rise to the claim, or one hundred U.S. dollars (US$100), whichever is greater.
11. Governing Law and Dispute Resolution
These Terms are governed by the laws of the State of Texas, without regard to conflict of law principles. Any disputes arising out of or in connection with these Terms or your use of the Platform shall be resolved through binding arbitration in Tarrant County, Texas, except where prohibited by law. You agree to waive any right to a jury trial and to participate only on an individual basis to the fullest extent permitted by law.
12. Changes to Terms of Service
We may modify these Terms at any time. Any changes will be posted in the app or on our website with an updated effective date. Continued use of the Platform after changes are posted constitutes acceptance of the modified Terms.
13. Marketing Communications & Consent
By creating an account or using the Platform, you consent to receive marketing, promotional, and informational communications from Groundmark, including product updates, feature announcements, and service notices. Communications may be delivered by email, in-app messaging, push notifications, and other electronic means. You may opt out of marketing emails using unsubscribe links, and you may manage push notifications in device settings. We may still send transactional or service-related messages.
